BAD NEWS LETTER

BAD NEWS LETTER

A bad news letter is informing the reader that you are presenting them with information that is not what they desire. You may be presenting the reader with bad news such as not hiring someone, refusing to refund money for a product, deny a request to speak at an event, etc.

  • Do not begin the letter with the bad news!!! Instead, begin with a buffer, that is a statement or two that will soften the blow for the bad news to come. Review your text for examples of buffers.
  • In the next paragraph of your letter, give solid reasons as to why you cannot grant the request and then follow with the bad news. Review your text as to how to state the reasons and the bad news.
  • Be fair, but be firm in your decision. Do not give the reader false hope.
  • In closing, if the reader has options, state them. “You may want to consider using your vacation time or unpaid leave when your baby is born.”
  • If no options exist, end the letter with a courteous close.
